Plan and billing
Which plan applies, who sends the invoice, how to cancel. And what happens when a limit is reached.
Click a question to read the answer.
Where can I see my plan?
Under Operations, in the Licence tile: plan tier, term and when your installation last synced with us. Only people who manage the installation see this tile.
Which quantities come with it — websites, pages, storage, AI text suggestions — is stated in your quote and on the pricing page. Your installation knows the same figures from the licence and keeps to them.
The plan is changed on our side, not in the program. Your installation takes over the change at the next sync; that runs once a day and can be triggered straight away with Sync now in the licence tile.
Two points that are easy to miss: the page count is added up across all websites of your installation, not per website. And AI text suggestions are not part of every plan — they are blocked in the small tiers.
How do I change my plan?
Let your contact person know. We change the plan, and your installation takes it over at the next sync — if you do not want to wait until tomorrow, trigger it yourself under Operations → Licence.
Individual quantities can also be topped up without changing the plan: more websites, more storage, more pages. We tell you the price beforehand.
There is deliberately no buy button in the program. Orders are placed in conversation or by email, and only then does anything change.
Where can I find my invoices?
Invoices come from your contracting party, not from the program. If you booked directly with Aurora Hive, Digital Shared Services GmbH issues them electronically. If your website runs through an agency, the agency sends you the invoice.
Aurora Hive Sites itself holds neither invoices nor payment details.
What happens when I reach a limit?
Anything beyond it is refused instead of being charged secretly.
In practice, depending on the limit, that means: no further website, no further page, no further upload. Your existing website keeps running unchanged — nothing goes offline, only the growth stops.
You then have three options:
- Tidy up — almost always the quickest way when storage is full.
- Top up — more websites, more storage or more pages; we tell you the price beforehand.
- Change the plan — if a limit is reached regularly, that is usually cheaper than topping up again and again.
AI text suggestions have no quantity, only on or off: they are not included in the small plans at all, and an attempt is refused with a clear notice.
How do I cancel, and what happens to my website?
Cancellation is made in text form to your contracting party. For installations booked directly, an email to info@digital-shared-services.com is enough; the notice periods are in the terms under “Term and termination”. Websites booked through an agency are cancelled with the agency.
Clarify two things beforehand, because they are hard to catch up on afterwards:
- Where does the website move to? Whoever holds the domain decides what appears at your address afterwards.
- What do you take with you? Texts, images from the media library, form responses, donation data, member list — export everything you can export beforehand.
After the contract ends, the installation stays readable for a while so you can still export. It is only deleted after notice in text form.
What applies during the trial?
14 days with the full feature set and your own content — not a stripped-down demo account. A bar at the top counts the remaining days.
After the last trial day your installation switches to read-only mode:
- Still possible: sign in, view, search, export content, enter a licence. The public forms on your website also keep accepting entries.
- Blocked: editing and publishing.
Nothing is deleted automatically. Notice in text form comes first; the installation is only removed after that, and only when a person explicitly triggers it.
If you book a plan, you carry on working with the same content — nothing is created anew.
Storage is almost full. What should I clear out?
The media library — that is almost always where the space is. In this order:
- Videos. One uploaded video weighs as much as hundreds of images. Embedded from a video platform, it takes up nothing on your side.
- Images uploaded twice. They come about when the same photo is uploaded several times instead of being picked from the list.
- Old PDFs that nobody links to any more.
Before deleting, check whether a file is still embedded — otherwise a gap remains on the page.
What counts as a website in my plan?
A site — that is, a complete web presence with its own address. Subpages do not count as separate websites; they count towards the pages.
Most people need exactly one. Several are worthwhile for separate presences — a second club, a dedicated campaign page.
By the way, if an area looks unexpectedly empty, the plan is usually not to blame, but the wrongly selected site.
I cannot find an invoice.
Ask your contracting party — that is where the invoice is created, and where you can get a copy. For installations booked directly, that is info@digital-shared-services.com.
Searching the program does not help: Aurora Hive Sites neither issues nor stores invoices.
How do I change the payment method?
Send the new bank details or payment method to your contracting party, ideally by email.
Aurora Hive Sites itself does not hold these details, and that is intentional: payment data belongs where billing happens, not additionally in a content management system.
How does my VAT identification number get onto the invoice?
Pass it on to your contracting party — the master data in the Legal area does not end up on the invoice. The two are often confused.
The master data under Legal feeds the legal notice and privacy policy of your own website. What appears on your invoice is maintained by whoever issues it.
The AI text suggestions are blocked for me. Why?
Because they are not included in every plan. In the small tiers — the association plan and the basic tier — they are switched off; from the next tier up they are included.
You can tell by a clear notice instead of a suggestion: the attempt is refused, not silently skipped, and it costs nothing.
Only generating and translating texts with AI is affected. Everything else — pages, sections, media, forms, publishing — works unchanged.
If you need the suggestions, changing the plan is the way; there is no top-up just for AI.
Is your question not listed?
Try the search — it covers all chapters at once. And if something really is missing here, let us know: in the program at the bottom right via “Report a problem”.
