Glossary
47 terms from the three programs and their surroundings — briefly explained, in such a way that it is clear afterwards what happens if you misunderstand them.
Contacts and campaigns
- Campaignalso: Kampagne
- A mailing to a selected group, sent in up to three stages and staggered over time. A campaign is a process with a memory: it knows who has already been written to, who has replied and who therefore drops out of the follow-ups. More on this →
- Stagealso: Follow-up, Stufe
- The position of an email in a campaign's sequence: first mail, 1st follow-up, 2nd follow-up. Each stage has its own template. Anyone who replies is taken out of the following stages. More on this →
- Templatealso: Text snippet, Vorlage
- The saved text of a stage, with subject line and placeholders. What the recipient reads is only created at sending, when the placeholders are replaced with the data of the respective contact. More on this →
- Placeholderalso: Merge field, Variable, Platzhalter
- A spot in the template that is filled per recipient — salutation, company name, contact person. It appears in the text in curly brackets. If the contact has no value, the neutral fallback is used; that is why you only notice the mistake in the test mail. More on this →
- Categoryalso: Kategorie
- The broad classification of a contact — customer, prospect, supplier. It decides who a campaign writes to. One category per contact. More on this →
- Tagalso: Schlagwort
- The fine classification: industry, trade fair, where the address came from. Several per contact are possible, freely chosen, and they can also be used as a filter for sending. More on this →
- Audiencealso: Recipients, Segment, Zielgruppe
- The set of contacts that receive a campaign — put together from category, tags, location and other filters. The number of recipients in the confirmation question before sending is the binding figure. More on this →
- Unsubscribe linkalso: Opt-out, Abmeldelink
- The link at the end of every campaign email that lets a recipient unsubscribe. The unsubscribe takes effect immediately and is checked on every further send — unsubscribed stays unsubscribed, in other campaigns too. More on this →
- Follow-upalso: Reminder, Wiedervorlage
- A contact with a date: someone you want to get back to at a particular time. Unlike a task, it is always attached to a person or a company. More on this →
- Company filealso: Firmenakte
- The combined view of a company: all contact persons, the entire email history, open tasks, opportunities and contracts in one place — instead of spread across individual contacts. More on this →
- Opportunityalso: Vacancy, Project, Tender, Auftrag
- The file for an undertaking: client, contact person, status, deadline, period, volume. A contact answers “Who do I know?”, an opportunity answers “What am I working on?”. The area used to be called “Stellen” (vacancies). More on this →
- Blocklistalso: Blocked addresses, Sperrliste
- The list of addresses that may no longer be used at the request of the person concerned. It does not store addresses in plain text, only check values — you can check whether an address is blocked, but you cannot read out the list. More on this →
Email and deliverability
- SPF
- An entry in your domain's DNS zone that says which servers may send email in your name. If it is missing or the sending server is not listed, many recipients classify the email as suspicious. More on this →
- DKIM
- A cryptographic signature under every outgoing email. Using a public key from your DNS zone, the recipient checks whether the message stayed unchanged on its way and really comes from you. More on this →
- DMARC
- The instruction to recipients about what should happen to emails that fail SPF and DKIM — ignore, quarantine, reject. In addition, there are reports on who is sending in your name. More on this →
- Bouncealso: Undeliverable, Unzustellbar, Rückläufer
- An email that the recipient's server rejects. Hard means: the address does not exist — it is blocked. Soft means: a temporary problem, such as a full mailbox — sending is tried again. More on this →
- Sender reputationalso: Absenderreputation
- The reputation of your domain and your server with the large email providers. It drops through hard bounces, spam complaints and sudden jumps in volume — and it decides whether your emails land in the inbox or in the spam folder. More on this →
- SMTP
- The protocol used to send email. When Aurora Hive Sales asks for SMTP credentials, it is about the mailbox your messages are to be sent from. More on this →
- IMAP
- The protocol used to read email. Aurora Hive Sales needs it to collect replies and match them to the right contact. Without IMAP, Aurora Hive Sales still sends, but it does not see the replies. More on this →
- OAuthalso: Sign in with Microsoft, Sign in with Google
- Signing in via the provider itself instead of with a password. You confirm once with Microsoft or Google that Aurora Hive Sales may access your mailbox; Aurora Hive Sales never gets to see your password, and you can withdraw the permission there at any time. More on this →
- Protected sending modealso: SAFE_SEND, Test mode, Geschützter Versandmodus
- An operating mode in which everything runs as usual, but outgoing messages are discarded instead of delivered. Usual for test and acceptance systems. You can recognise it by the notice in the header bar. More on this →
Websites
- Sitealso: Website
- In Aurora Hive Sites, a complete website with its own address, its own theme and its own pages. One installation can run many sites side by side. More on this →
- Pagealso: Seite
- What is a menu item on your website: home page, about us, contact. A page consists of sections. More on this →
- Sectionalso: Block, Abschnitt
- A horizontal strip of a page — header, text column, image gallery, contact form. Pages are created by stacking sections and filling in their fields. More on this →
- Symbolalso: Baustein
- Content that appears the same on several pages — the contact box, the notice strip, the footer. Changed once, changed everywhere. More on this →
- Releasealso: Bundle, Bündel
- A package of changes that are meant to appear together. Useful when several pages are changed over at once and nothing half-finished may go online. More on this →
- Publishalso: Go live, Veröffentlichen
- The step that turns the editing state into the public website. Until then nobody but you sees the change — afterwards everyone does. More on this →
- Slugalso: Permalink, Adresskürzel
- The part of the web address that names a page. Changing it afterwards breaks every link that others have set to this page — so it is better to choose it right once. More on this →
- Media libraryalso: Mediathek
- The storage place for a site's images, PDFs and videos. An image stored there can be used on any number of pages without being uploaded more than once. More on this →
- A/B test
- Two variants of the same page, each shown to half of the visitors, to measure which works better. Without a goal set beforehand, an A/B test measures nothing. More on this →
- Inline editoralso: Aurora Hive Live
- The editor directly on the published website: click the text, change it, save — without going through the content management system. Meant for everyone who changes things rarely and only in small ways. More on this →
Operations, law and AI
- Instancealso: Tenant, Instanz
- Your own installation with its own database, its own address and its own users. Two instances cannot see each other — not even when they run on the same server. More on this →
- Rolealso: Permission, RBAC, Rolle
- What an account may do. The role decides which areas appear in the menu and which actions are allowed — not which data exists. More on this →
- Licencealso: Lizenz
- The stored key from which the scope and term of your contract are read. If it expires, your data stays fully readable; sending and AI are paused. More on this →
- Access logalso: Audit log, Zugriffsprotokoll
- The record of who changed what and when. The place to look when a record looks different from what you expected. More on this →
- Backupalso: Sicherung
- The daily copy of the database and the stored files. A backup that has never been restored is an assumption — which is why the restore test is part of it. More on this →
- Data processingalso: Data processing agreement, AVV, Auftragsverarbeitungsvertrag
- The contract that you, as the controller, conclude with everyone who processes personal data on your behalf — including the operator of your instance. Without it, the GDPR basis is missing. More on this →
- Sub-processoralso: Unterauftragsverarbeiter
- A service that works on behalf of your processor — a data centre or an AI provider, for example. This chain must be disclosed, because it helps decide where data flows. More on this →
- Legitimate interestalso: Berechtigtes Interesse
- The legal basis that business outreach in a B2B setting often relies on. It requires a case-by-case assessment, a recognisable connection to the recipient and a working way to object — it is not a free pass for purchased address lists. More on this →
- AI evaluationalso: Language model, LLM, KI-Auswertung
- A step in which a language model generates or assesses a text — suggesting cover letters, evaluating tenders, suggesting translations. It costs money, which is why there is always a visible upper limit before the click. More on this →
- Hallucinationalso: Halluzination
- When a language model invents something that sounds plausible and is wrong. The reason why every AI suggestion in these programs stays a suggestion and only takes effect once you approve it. More on this →
- High-risk AIalso: Hochrisiko-KI
- A classification from the European AI Act. Using AI to select applicants falls under it and brings its own obligations — from human oversight to informing the people concerned. More on this →
Visibility
- Search volumealso: Keyword volume, Monthly searches, Suchvolumen
- How often a term is searched for on Google per month, as Google's rounded estimate averaged over twelve months. “no value” means that Google gives no figure, not that nobody searches. It is queried at the press of a button against one data query. More on this →
- Backlinkalso: Link, Referring website, Verweis
- A link from someone else's website to yours. How many websites link to you, how strong they are and where competitors are linked and you are not is shown on the Backlinks tab. The figures come from a backlink index that does not know the whole web; they are still good enough for comparison. More on this →
- Visibility indexalso: Visibility, Sichtbarkeitsindex
- A number from 0 to 100 per project and week: how much of the possible clicks your site gets for the monitored terms. 100 would mean rank 1 for every term. Only comparable as long as the same terms are monitored. More on this →
- Data queryalso: Data queries, Datenabfrage
- A job for the data service that search volume and backlinks come from, with up to 1,000 terms per job. Data queries have their own monthly budget, the size of which depends on the plan. More on this →
- Research queryalso: Search query, Google search, Recherche
- A paid query of Google search. Research queries are used by the opportunity search, the application runs and, in Visibility, by rank measurement, the map service and the market radar. On the overview they appear in the “Google search” tile. More on this →
